Credit Union is seeking a high-level Banking Administrative Assistant to provide confidential, professional, administrative support for the President/CEO/Manager that includes a wide range of administrative duties to be handled with confidentiality and discretion where required. Interface with other executives in the credit union, with board members, with members, visitors, and vendors to the credit union. Prepare reports, correspondence, manuals, spreadsheets, and all other communications utilizing a broad range of computer applications. Other duties include the following:
Process daily correspondence, compose standard letters and prepare reports for the President/CEO/Manager, board officers, and board committees. Ensure accuracy of work.
Answer telephone, disseminate information or resolve questions, and/or route calls to appropriate individual. Take messages and coordinate follow through.
Conduct research and prepare statistical and financial reports to assist the President/CEO/Manager in the development of a variety of plans, documents, or reports.
Evaluate incoming correspondence, research and respond to questions, provide back-up information where required, and route accordingly. Coordinate follow through on correspondence pending.
Assist, as designated, in scheduling and/or arranging appointments, meetings, business trips, etc. for CEO, board members, or other members of the senior management team.
Maintain the calendar of events and schedules for credit union events as required.
Perform specialized or confidential administrative duties, including researching data and preparing reports as needed.
Disseminate informational mailings and articles to the board of directors, management, and others.
Keep President/CEO/Manager advised of complaints, telephone calls, and letters received. Coordinate follow through on pending issues.
Creates and implements an organized filing system for various company documents.
Maintains an adequate office supply inventory and requisitions additional items as needed.
Responsible for the social media, website, online and in-branch marketing presence for the credit union.
Administers Bank Secrecy Act (BSA) and Office of Foreign Asset Control (OFAC) compliance annually, files required CTR and SAR and updates as required.
Manages Acensus IRA portfolio and the required minimum distributions.
Manages settlement of deceased member accounts according to policies and procedures.
Trains new hire member service representatives.
Manages seasonal promotions initiated by NYCUA and/or CUNA i.e. scholarship program.
Maintains a professional office environment and promotes a positive image for the company.
Back up for member service representative position as needed.
Ability to analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Strong math skills and problem-solving skills are essential
Proficient in Microsoft Office Suite Products along with other software systems is required.
5-Years of high-level administrative experience
Bachelor’s degree preferred; not required
