The Gersh Agency is seeking a highly motivated self-starter Facilities & Office Manager to join our team in Manhattan. This position will supervise our day to day mailroom operations and agency trainees, inspect all repair and maintenance projects/vendors, respond to and address facility related issues/repairs etc, and coordinate with the building landlord and internal teams.
· Provide formal supervision and training to mailroom trainees and act as direct report.
· Liaise with office vendors, including building/supplies/food and Bev/contractors and building management
· Supervise and assist with the maintenance, housekeeping and repairs of office facilities
· Maintain office supplies inventory
· Manage several streams of inquiries, from employees, vendors and providers, all with exceptional customer service and the highest level of discretion and professionalism.
· Work alongside Human Resources to coordinate desk coverage and floater/mailroom rotations.
· Assist with setting up offices for visiting agents i.e. desk, supplies, cleanliness of office
· Ensure materials for scheduled departments meetings are prepared and set up by meeting deadlines.
· Coordinate incoming and outgoing mail and packages with USPS, FedEx and UPS vendors, and manage team of mailroom staff to distribute mail and hand-deliver urgent materials on-site and off.
· Assist with tenant request for facility repairs and requests in a timely manner.
