The ideal candidate possesses strong knowledge of event production and project management. You will be responsible for assisting with logistics regarding the BENEFIT Reception Hospitality & Volunteer Coordination and other events, supporting the Team through effective communication and tracking progress on any necessary documents and expense reports.Compensation and College CreditThis is an unpaid internship. However, depending on University guidelines, you may be eligible for college credit.Responsibilities of an Event Coordinator Intern [Reception & Volunteers]: Work with the Executive Producer, COO, and HealthCorps team on scope of New York Benefit (hereafter “Benefit”) and provide support on other events as appropriate Provide leadership and support for the BENEFIT related to the Reception & Volunteers New York 2021 event Assist with planning and supervising Reception & hospitality on day of event including brand activations, layout, VIP elements and paperwork Support volunteer planning and coordination for the event including any in-kind donations to support volunteers (ex: snacks or meals, beverages) Coordinate with other BENEFIT Producers as necessary Logistical and administrative including the related tasks and meeting Day of event management Work with HealthCorps Marketing Team on promotion of reception & brand activations as appropriate Work with HealthCorps Development Team on hospitality systems (ex: registration & ticketing platform) and communication with Guests and sponsors as appropriate General Support Maintain customary levels of two-way communication and updates with all parties involved Assist with necessary permits, contracts, rental agreements and venue requirements as related to specified areas Assist with tracking and planning of BENEFIT area specified expenses or solicitations of donated services and products in coordination with HealthCorps’ controller, Event Executive Producer and VP Development Support additional HealthCorps events as time and necessity allow (examples include but are not limited to: Young Professionals, Board of Advisors Meetings, Sponsor Events, or Virtual events) Direct management of assigned elements within events may include but are not limited to: Production logistics; load in / out, volunteer guidance and support, and all related elements day of event; coordinate event activities logistics with all participants and committees for event; sponsorship proposals & targets; related Marketing material; fulfillment of Sponsor benefits; distribution of marketing materials; completion of all documentation as agreed including but not limited to registration forms, expenditure authorizations, invitation letters, surveys, thank you letters, and day of event signatory pages and event recap. All other duties and responsibilities as assigned during the normal course of the event production. Requirements Currently enrolled in an Undergraduate program Event planning coordination skills Project management capabilities Attention to detail, ability to prioritize tasks and multi-task Experience with MS Excel, Word and Power Point Proven writing skills
