Candidate will provide full-range administrative support to team of high-level investment professionals. Hours are 8:30AM – 5PM (company has returned to the office full-time). Salary is competitive/DOE. MUST HAVE 3+ years administrative experience working with C-Level employees, preferably in finance. Successful candidate will have excellent verbal and written communication skills. BACKGROUND CHECK REQUIRED.
-Front desk, meet & greet (when normal meetings resume), first contact for guests and vendors
-Monitor employee calendars, schedule zoom meetings, resolve conflicts, coordinate complex calendar upkeep
-Maintain outlook contact database
-Coordinate and scan research materials, distribute accordingly
-Order daily lunch for staff and meet delivery men in building lobby
-Sort daily mail, route to recipient/scan
-Receive and prepare FedEx, UPS and messenger packages
-Monitor office copiers/printers and refill paper supply as needed, troubleshoot IT issues, maintain IT inventory
-Maintain and monitor office cleanliness, including light dusting and watering plants
-Upkeep of general cleanliness of kitchen (organize cabinets/refrigerator), including coffee machine & water filter
-Re-stock refrigerator with soda/water, load dishwasher and run nightly
-Assisting backoffice with general paperwork, letters, scanning/saving, special projects

As such, our office currently has a limited reopening with appropriate safety precautions in place in accordance with New York guidelines. Since the duties of this position are mainly on-site, it is a full time in office position.
-Bachelor’s degree or higher
-MUST have 3+ years administrative experience working with C-Level employees, preferably in finance
-Willingness to roll up your sleeves and pitch in to help in any area of the business
-Sound judgement in identifying when an issue requires escalation and / or input from other teams
-Effective time, space, and task management
-Excellent verbal and written communication with an ability to tailor communication style to diverse audiences
-Proficiency in the Microsoft Suite
-Proficiency using standard office equipment, adapting and implementing HR/office policies, and working with data and systems
-Knowledge of business and management principles
