The Role

Digifabshop Administrative Assistants are responsible for performing a variety of administrative and office support activities and providing assistance to Office Management as requested. Our Administrative Assistants are fast paced, detail oriented individuals who are versatile across a number of different departments from finance to people administration, purchasing and executive support.

Essential Functions & Responsibilities

• Maintaining company records across numerous departments
• Scheduling and welcoming guests, customers and vendors both in person, over the phone, or via electronic communication
• Monitoring visitor sign-in and visitor activities
• Maintaining business call logs and tracking client contact information
• Conserving management’s time by receiving, reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, and initiating communications
• Faxing, printing, copying, scanning and preparing labels & mailings
• Assisting in planning company events and activities
• Proactively seeking continuous improvement and professional development
• Meaningfully contributing to team meetings, trainings, policies, strategy and culture
• Perform other related duties as required.

Skills & Background

• Demonstrated ability to organize, direct, delegate and supervise in both an office and production environment
• Proficient in MS word, Gmail, Google Calendar, Google Contacts and Google Docs
• Proficient in use of electronic communication such as email, chat and cloud-based collaborative platforms
• ERP administration a plus
• Excellent oral and written communication skills
• The ability to identify complex problems and development innovative solutions
• Attentive, considerate, inquisitive and empathetic to others
• Exceptional time management skills
• Lifelong learner
